Dear Exhibitor:
It is my pleasure to welcome you to the 6th Annual New York Wine Expo, March 1 - 3, 2013.
Our goal is to make this event as successful as possible for you. This section of the website contains all of the information necessary to assist you in the successful operation of your booth, table or pavilion.
There are several key operational items that I would like to call to your attention:

Wine Inventory Forms
WINE WILL NOT BE ACCEPTED AT THE FACILITY WITHOUT THIS FORM BEING FILLED OUT IN ITS ENTIRETY. Wine will be shipped directly to Centerplate the exclusive food and beverage provider at the Javits Convention Center. DEADLINE FOR THE WINE INVENORTY FORM IS FEBRUARY 8, 2013. The Wine Inventory Form and Non Wine Exhibitor Forms are new and exciting. You will be receiving an email from your sales manager (email address is CustomerService@resource-plus.com). This email has a personalized link enclosed. Click the link and you can begin entering in your wine information or your company information. Your page will be pre-populated with your contact information and your table/booth assignments. If you have questions or changes regarding your table / booth assignments – please contact your sales manager Once you complete the form – make sure to scroll to the bottom and hit the button to submit your information.
By completing this form you will be included on the event website, mobile app and onsite show guide. You are still responsible for making sure that you contact your distributor directly to make sure they have all of your information for shipping to the facility.
It’s important that you complete this form in its entirety as soon as possible in order to get your information out to distributors and consumers and have a successful event. The deadline to complete this form and make any changes to information you submit is February 8, 2013.

Annual Wine Tasting Permit
It is the responsibility of each participating exhibitor to comply with New York State Law regarding the serving of alcoholic beverages. Each exhibitor is required to pour under an Annual Wine Tasting Permit or a Single Event Wine Tasting Permit. This permit is critical on-site. Please keep it handy for the move-out as well if you intend to take the wine with you as you leave on Sunday.
If you already hold a permit, a copy should be sent by fax to Show Management at 617-385-1223 or email Sharon.Novick@resource-plus.com by February 15th, in case of inspection by the State of New York Liquor Authority. You must also bring a copy with you to the Expo.
If you have not yet secured your permit, Show Management has arranged two options to secure a permit.
1. Apply for a supplier permit with the New York State Liquor Authority by submitting an application. If you are submitting an application for this single event you should indicate where appropriate that the event is at the Javits Center. The process takes a couple weeks, so please apply early.

NOTE: SUPPLIER PERMIT – Complete questions 1 through 10, (one time only 12, 12A), 13, 15, 20, 23 and
signature sheet.
Authorizes an Unlicensed Out of State Supplier or a Licensed In State Supplier to do tastings (using product from the applicants’ or wholesaler’s inventory); to take orders for and /or to forward orders to licensed wholesalers; and to market product in accordance with the provisions of the Consent Orders. The supplier will need to apply for a transportation permit, or contract with a company that has a transportation permit, in order to transport the alcoholic beverages to the event site. Along with this application, an out of state supplier must submit a copy of their state issued license and a copy of their Federal Basic Permit issued by TTB (Alcohol and Tobacco Tax and Trade Bureau - US Department of the Treasury www.ttb.gov/foia/frl.shtml). Refer to advisory 2012-7 regarding tastings. You may apply for a 3 year permit for a fee of $375.00 with a $20.00 filing fee or a one-time permit for a fee of $25.00 .

Once completed, please send the completed form and check to the New York State Liquor Authority and mail it to: The New York State Liquor Authority P.O. Box 3796, New York, NY 10008-3796.
Upon receipt of your permit from The New York State Liquor Authority, please fax to Show Management at 617-385-1223 or email Sharon.Novick@resource-plus.com by February 24th.
2. The New York Wine Expo has partnered with Noble Harvest LLC for exhibiting companies that have wines NOT currently distributed in New York. Noble Harvest LLC offers expertise and support to simplify the international compliance requirements to provide a seamless implementation process. The objective of this partnership is to simplify and improve the customer experience while reducing the costs of participation at the New York Wine Expo.

General Service Contractor
Please pay special attention to the information provided by Freeman Decorating Company. This information will help if you are shipping in advance or direct to the facility. Freeman OnLine can be accessed at by clicking here. If this is your first time to use Freeman OnLine click on the “login in” link in the top right corner. You will be asked to make up a login and password. These are not pre-assigned. If you need assistance with this portion of the manual please call the Customer Support Center at 1-888-508-5054.
